OMINS

The Basics

Logging In

  1. You can get to the OMINS log-in screen two ways:
    1. Go to Snipesoft homepage (http://www.snipesoft.net.nz) and click on the log-in link in the top right-hand corner.

    2. Navigate directly to the URL http://www.snipesoft.net.nz/ominst
  2. Enter your company, username, and password where indicated.

    Note that if someone has recently been logged in to OMINS on the same computer, you may not need to enter the company. If the company listed is not correct, click the 'change company' link to switch to the full log-in screen.

Products

Special Product Types

Your OMINS system allows you to create two special categories of products- assembly and virtual. Assembly products are items that must be physically assembled with their inclusive parts before being shipped to the customer- for instance, a product whose batteries require a special tool to install. Virtual products are a group of products sold together (ie a bulk lot or a mobile with charger, extra battery, and cover as accessories) or a product where your customer can choose from different types (ie different coloured cell phone covers, different clothing sizes, etc).

Assembly Products
  1. Select 'Products Promotion View' from the 'Products' drop down menu.
  2. Click on the 'new' button.
  3. Enter the information for the item as you would a normal product- prices, pictures, etc. However, ensure you select 'assembly' in the Product Type box.
  4. Click 'save'
  5. Select the assembly tab
  6. Enter the quantity and part numbers of the pieces to be assembled and click the '+' button
  7. In the 'assemble product' section, enter the number of finished products that will be created using the quantities you have entered
  8. Enter the number of products you wish to assemble or disassemble and click on the corresponding button. The updated number of available parts will show at the top and the current assembled stock will updated in the 'current stock' field.
Virtual Products
  1. Select 'Products Promotion View' from the 'Products' drop down menu.
  2. Click on the 'new' button.
  3. Enter the information for the item as you would a normal product- prices, pictures, etc. However, ensure you select 'virtual' in the Product Type box.
  4. Click 'save'
  5. Select the assembly tab.
  6. In the Component Products box, enter the quantity and part numbers of items to be included with the main product and click the '+' button.
  7. In the Selection Products box, decide if customer selection should be allowed. If this is not ticked, OMINS will choose the first product in the list to include for the customer until stock is depleted, and will then move to the second in the list, etc. If the box is ticked, your customer will be able to choose which option they wish to have included.
  8. Click the small 'save' button next to the customer selection option if you have changed the default preference.
  9. For each selection option, enter the quantity to be included, the part number, and the name you wish to be displayed for customer selection and click the '+' button.

Auction Rules

Updating Prices On Multiple Auctions

The following will allow you to update the prices of multiple products and/ or auction rules within one page.

  1. In the menu, choose 'products' -> 'products promotion view'
    Select products promotion view from the product menu to update prices on multiple auctions.
  2. Select the products you wish to change
  3. From the drop down 'commands...' menu, select 'change prices'
    Tick the products you wish to change, then choose change prices from the commands menu
  4. Simply edit the prices as you wish. This works exactly like the pricing panel on the individual product pages, except it contains many products at once.

Updating Live Auction Details

Use the following steps to update the details for auctions already listed on Trade Me.

Note: this will only update auctions that have not been bid on as Trade Me will not allow editing of details once a bid is placed.

  1. Select the 'auction rules' tab under the product you wish to edit.
    Select the auction rules tab under the product you wish to edit.
  2. Edit the auction rules page with the new details and click save.
  3. Select 'Current Auctions' in the 'Useful Reports' box on the right-hand side.

  4. Check the auctions you wish to edit.
  5. From the 'commands...' drop down menu, choose 'update details on tm'

Your current auctions should now be updated with the new details.

Promotion Groups

Using OMINS with Additional Auction Sites

In addition to Trade Me, you can use OMINS to list auctions on Sella, Zillion, Trade & Exchange, Lixtor, What’s On Sale, PriceSpy and PriceMe. The following is a step-by-step process to configuring OMINS to list your products on one or more of these sites.

  1. You must first sign up for an account with any of the additional sites you wish to list on.
  2. Select 'settings' -> 'promo group' from the menu.

  3. Double click on the promo group you wish to edit to include the additional site(s).
  4. Select the 'other sites' tab

  5. Change the drop down menu to the site you wish to add.
    Select the correct store from the drop down menu
  6. Enter your user details for that site.
  7. Click add.
  8. In each auction rule you wish to list on additional sites, you must check the appropriate boxes under the "Enable For..." box on your auction rule page.

You can have auction rules just for these additional sites. Just un-tick the Trade Me option.

Parcel Tracking

Entering Tracking Information

By entering the tracking numbers of your courier items, you can keep a record of the day items were sent by matching them with the invoice. OMINS allows you do this manually or to use a scanner for quicker, more stream-lined data entry. We recommend that you use the invoice you print off of OMINS to address your package, as this makes entering and tracking this information easier. [[image:

  1. Select 'tracking' from the 'invoices' drop down menu
    Select invoices -> tracking.
  2. Enter the invoice number and tracking number in their respective boxes.

    This can be done manually, by typing each one in and then clicking the 'enter' button, or by using a scanner. When using a scanner, be sure to scan the invoice first and then its corresponding tracking sticker. There is no need to hit enter when using this method.

    If there is no tracking number (for instance, if the parcel is being sent by post or being picked up, you can choose from the list of static codes to the right of the form.

    Alternatively, you can print the following 'post' barcode and scan this as an alternative to tracking numbers.
    Print this barcode to tape to your work area. This can be scanned as an alternative to tracking numbers for postal parcel.

Checking All Parcels Have Been Sent

  1. Select search from the invoices drop down menu.
    Select invoices -> search
  2. Select to dispatch from the find drop down menu and click on the search button

If there are any results, then these invoices have not had a tracking number associated with them using the above method.

Search

Customising Your Search Columns

OMINS allows you to customise how your search results (for products, reports, invoices, etc) are displayed.

To change your display preferences, click on the customise view button.
Select the customise view button to change your search column preferences.
Use the arrows on the left to rearrange the order of the columns.
Arrow buttons allow you to change your column order.
The checks and X's on the right hand side allow you to enable and disable the columns. A check indicates a column is enabled, an X indicates it is disabled. Click on the check or X to toggle.

OMINS Information and Web Sites

Creating a Page for Your Website

You can create customised pages to add to your website. These could be anything from information about your company, to shipping information, etc. Remember to set up a new menu item so that your site can link to the page you create.

  1. Select 'website pages' from the 'settings' drop-down menu.
    Select the 'website pages' option from the 'settings' menu.
  2. Click the 'new' button.
    Click the 'new' button to create a new page.
  3. Enter the title of your page. Keep in mind that this title will only show up on the browser header. Adding the page name to your website is done when creating a menu item.

  4. OMINS will generate a URL for you based on your title. If you wish to change this URL, tick the 'customise URL' box and enter your new address.
  5. Tick the boxes next to the pages you wish to have your page enabled on.
    Choose which sites your page will be enabled on.
  6. Select which promo group you want this page applied to.
    Select your promo group.
  7. Enter the content of your web page. If you wish to enter this content in HTML, tick the 'use raw entry' box.

  8. Select the save button.

Creating a Menu Item for Your Website

By creating a menu item for your site, you can link to preset pages, outside URLS, and pages you have created using OMINS.

  1. Select 'website menus' from the 'settings' drop-down menu.
    Select 'website menus'.
  2. Click the 'new' button.
    Click the 'new' button to create a new menu item.
  3. Enter the name you wish to display on the menu.
  4. Tick the boxes next to the websites you wish the menu item to show on.
    Enter the name of the menu item and select the websites to enable it on.
  5. Choose where you want your menu item to show- header, footer, or both.
    Select where the menu item should show.
  6. Select which promo group the menu item should apply to.
  7. Indicate the priority of the menu item. Smaller numbers will be the first from left to right.
    Select the correct promo group and enter the menu item's priority.
  8. Select the save button-- this needs to be done to choose the link, as these depend on the promo group you chose.
  9. Select the link you wish your menu item to point towards. You have three choices for this:
    1. Preset: These are webpages generated by OMINS. Your home page, and a mailing list subscription form.
      Preset page option. Choose this to link to an OMINS generated site.
    2. Website: These are pages that you have created using the OMINS form. Select which one to link to using the drop down menu.
      Website page option. Choose this to link to a site you have created with OMINS.
    3. Custom: This enables you to enter your own URL- this can be a site you have created outside of OMINS, or an external site. The URL can be direct or relative.

  10. Click save.

Pointing Your Domain to Your OMINS Website/ Information Site

You have two options for setting up a domain name for use with OMINS sites:

Snipesoft Setup and Hosting

If you don't know how or don't want to deal with it yourself we can manage setup and host the domain for $50+GST per year. This is for any .nz domain or .com / .net / .info /.biz domain (it's likely that we can do other domains- just ask us!).

E-mail us and tell us your desired domain and we will register it under your name and set it up for you. We can also configure MX records, set up sub domains, etc. as requested (i.e. where you email goes- for instance you could use G-mail for e-mail).

If you already have your desired domain with some another host and want us to manage it, you need to ask them for the 'UDAI' number and e-mail us with the domain name and number. When the domain expires we will make sure it is renewed and there will be a $50 charge added to your OMINS bill.

Self Setup and Hosting

If you have your domain with a domain registrar and are confident enough, you can set up your domain yourself. You have two options: use the Snipesoft name servers or set up a CNAME as the A Record.

Using Snipesoft's name servers is the easiest way to point your domain to your OMINS website or information site. It also means that there is one less point of failure (i.e. if the Snipesoft server is up, your DNS will be working). However, using the name servers means you can't make sub domains or use e-mail on your domain.

Set your name servers as:

  • ns1.snipesoft.net.nz
  • ns2.snipesoft.net.nz
  • ns3.snipesoft.net.nz

If you need IP addresses for these, you can ping them using the command line or http://centralops.net/asp/co/Ping.vbs.asp.

Setting up a CNAME as the A record means you will have full control of your domain. You will be able to setup and control your own MX records and sub domains. However, this is also another point of failure (i.e. if the DNS of the registrar is down, your customers won't be able to access your site). Additionally, this can be very difficult if you are inexperienced. Take note that some domain registrars do not support this- check with your registrar before choosing this step.

Set the “A record” of www.yoursite.co.nz to cname.snipesoft.net.nz.

Once you have set either your name servers or A record as indicated above you may have to wait a few hours (sometimes up to 24) for the DNS to propagate. This is working when you visit your domain and end up at www.snipesoft.net.nz.

When your DNS has propagated, you will need to log in to your system and tell OMINS that this domain belongs to a particular promo group and site:

  1. From the menu, choose 'settings'->'promo groups'.
    Select promo groups from the settings menu
  2. Choose the promo group you want to use for the domain.
  3. Click on the 'urls' tab
  4. Enter in the domain you have and choose if it should be the web store or information site. You can have two different domains if desired- one for your information site and one for your webstore. You can also choose to have this domain be a flat site (a site with no products listed).

  5. Your domain should now direct to your appropriate promo group OMINS site.
